Site Administrator- Backford North- Permanent
About the role
We are seeking a highly organised and proactive Site Administrator to support the day-to-day operational activities of the depot, ensuring all administrative and operational processes are delivered efficiently and in line with business requirements. The role is integral to maintaining site performance, managing stock control, supporting compliance activities, overseeing documentation and data management, and providing accurate reporting to both internal and external stakeholders. Working closely with the Operational Supervisor and Cluster Manager, you will contribute to continuous improvement initiatives, training coordination, permit-to-work administration, contractor compliance, and site auditing activities. As a key member of the team, you will help ensure operational continuity, support resource planning during peak periods, champion safety and compliance standards, and promote Exolum's core values while providing excellent support across all areas of the depot operation.
Key Responsibilities
- Accountable for the data collection and input into all systems including Month end stocks on Synthesis.
- Ordering, resupply and issue of all site consumables, including stationery.
- Raising orders specifically purchase orders as requested, and managing expenditure on the P-card.
- Help to ensure expenses are always cost effective solutions to issues.
- Identify and implement improvement practices/processes in co-ordination with other associated departments & teams.
- Maintain operational KPIs & metrics as requested through OS and CM
- Strive to remove waste from the organisation
About You
The successful candidate will have experience working in a busy operational environment and be confident interacting with customers, contractors and members of the public. They will possess excellent communication and organisational skills, a professional telephone manner, and the ability to work accurately to deadlines while managing competing priorities. Strong literacy, numeracy and IT skills are essential, together with GCSEs (or equivalent) in English and Mathematics. Experience within a COMAH-regulated environment and an understanding of Safe Systems of Work, Permit to Work processes and Health & Safety requirements would be advantageous. The ideal candidate will be a proactive, resilient team player with a commitment to safety, continuous improvement and delivering high standards of support across depot operations.
